The Finance Coordinator is directly responsible for maintaining accounts payable and accounts receivable for the agency. This includes preparing financial statements, processing purchase orders, drafting cheques, and other accounting transactions.

Key Duties and Responsibilities:
Collaborate with the Executive Director (ED) to manage accounts receivable (A/R) and accounts payable (A/P), including coding and posting to the appropriate accounts
Collect data for entry into general ledgers, posting debits and credits
Receive cash, cheques, and transfers, submitting monthly deposits to the bank
Prepare payments for third parties and reconcile financial reports
Investigate payment issues while following agency A/P policies and procedures
Reconcile expense claims and agency credit card statements, and prepare payments
Reconcile program specific payments such as parent-portion fees for childcare and camp, rental fees, youth markets, and garden contracts
Access financial statements and prepare reports from SAGE Accounting as needed for the ED and/or Board Treasurer
Complete monthly reconciliation of bank accounts and assist the Accountant with Year End data collection, reporting, and journal entries
Work with Payroll & Benefits Coordinator (P&BC) to ensure deadlines are met for government agencies, such as Work Safe BC, Revenue Canada, and CCSEA
Work with P&BC to submit monthly contributions for benefits and retirement plans
Complete payroll during P&BC’s absence due to vacation or illness
Assist the ED with the development and implementation of budgets
Assist the ED with updating the Program Allocation chart, dependent on annual funding
Ensure strict confidentiality and privacy of financial records
Perform other related duties as required
Qualifications:
Commitment to anti-oppressive, decolonial, and anti-racist practice
Diploma, degree, or certification in Accounting or Bookkeeping
Minimum 2 years’ experience in a similar role
Demonstrated ability to accurately calculate, post, correct, and manage accounting figures and financial records
Experience in gathering data, compiling information accurately, and preparing supporting financial reports
Demonstrated attention to detail and accuracy
Experience using SAGE software is an asset
High level of proficiency with Microsoft 365 Copilot
Must possess a high level of moral judgment for handling confidential information and monetary transactions
Living in or near Victoria is required as regular access to the Centre will be necessary to collect A/R and disperse some payments
Vulnerable sector criminal record check required
Hours of Work and Other Contract Terms:
Hours of Work:
14-16 hours per week
Flexible schedule built around ED and agency needs. Remote work preferred, with access to agency equipment, office space, and resources as scheduled (typically Wednesdays and Fridays)
Increased hours may be required during critical time frames for reporting such as calendar or fiscal year end
Benefits and Remuneration:
Starts at $29.78 per hour and increases with tenure *Contract negotiation is possible
Starts at 3 weeks paid vacation each calendar year for employees

Paid training and employee development applicable to role
