The role of the Facilities Assistant is to facilitate Rental Booking requests, process contracts and invoices, and support with maintaining safe after-hours operations at Quadra Village Community Centre (QVCC) and Quadra Village Neighbourhood Gym (QVNG). The Facilities Assistant would also support with other light admin and maintenance tasks when time permits.

Reports to: Facilities Coordinator (FC)

Key Duties and Responsibilities:

  • 80% of role will be facilitating Rental Booking requests, including maintaining an accurate booking schedule, creating Facilities Use Agreements (rental agreements), and invoices for rental groups

  • Responds to general inquiries after-hours, by phone and in person, regarding QVCC and QVNG, and facilitates and engages in the physical work of maintaining the Centre

  • Ensures compliance with all safety and security protocols

  • Ensures proper maintenance, function, and security of the buildings, equipment, and grounds

  • Completes minor repairs of equipment and buildings as required, such as light cleaning, debris and graffiti removal, affixing or securing items to walls, paint touch-up, etc.

  • Tracks building upkeep in conjunction with the FC

  • Responds to after-hours emergency situations and building alarms for both facilities

  • Participates to ensure a safe environment; observes potential hazards; remedies and/or reports to the appropriate person

  • Orientates new community key-holders prior to issuance of keys and alarm codes

  • Supports the functioning of computers, copiers, projectors, and other equipment for staff and community use, as requested by the FC

  • Participates in a Facilities Assistant role for community events such as Quadra Village Day, National Day for Truth & Reconciliation, and the Annual General Meeting, such as set up and take down

  • Performs other related duties as required by the FC


Qualifications:

  • Commitment to anti-oppressive, decolonial, and anti-racist practice

  • Ability to work with integrity and respect in a diverse, multi-cultural community centre

  • High School graduation

  • Demonstrated work experience and abilities in a facilities role, or a combination of training, education, and experience in a related field

  • Excellent time management skills and the ability to prioritize work

  • Strong organization and problem-solving skills; keen attention to detail

  • Strong oral communication skills along with interpersonal and collaborative ability

  • Ability to work under pressure of deadlines and with frequent interruptions

  • Computer proficiency with Microsoft 365

  • Physical ability to realign room furnishings, stack tables and chairs, and climb ladders


Hours of Work and Other Contract Terms:

Hours of Work:

  • 10-15 hours per week, scheduled evenings and weekends as required. Hours and days of work are flexible, and we are willing to create a schedule that works the best for the successful candidate.

Benefits and Remuneration:

  • $24.03/hr to start, increases with tenure

  • Additional 6% vacation pay, paid out each pay period

  • Immediate enrollment in the Employee & Family Assistance Program

  • Paid training & development suitable to position
