Community and Administrative Support (On-Call)

Welcomes and connects visitors and callers to the applicable staff, program, or services. Provides advocacy or referral(s) to other agencies or resources. Works with volunteers to oversee the receiving, bagging and distribution of all donations and food. Provides effective support and collaborative delivery of the Community Support Program (CSP), including daily maintenance of common and CSP program areas. Provides administrative support to staff members, volunteers, and our community.

Reports to: Community Programs Coordinator (CPC)

Key Duties and Responsibilities:

  • Performs building opening and closing procedures as required 

  • Photocopies, faxes and scans documents for the community and other staff                                                    

  • Prepares computer generated documents, forms, and promotional material upon the request of other staff

  • Tracks numbers of visitors and other statistics as required (non-program)

  • Signs users in and out of public-access computers and tracks for statistics

  • Through communication with program leads, remains cognizant of current program availability and content, updating promotional material when necessary

  • Prepares assigned Program Reports, collects and tracks remaining reports from staff

  • Orders bus tickets and reconciles use through the Transit Ticket Assistance Program

  • Distributes tickets to staff. Prepares reports on usage for Community Council

  • Receives payments for program and rental use, providing receipts and registering participants as necessary  

  • Sets up for community programs or meetings, followed with clean-up.

  • Assists CPC with program stats and preparation of reports

  • Assist with the bagging of bread/food and distribution of donated items with volunteers

  • Sorts and stores donated clothing and housewares for Clothing Room

  • Assists the CSP coordinator with monitor the Clothing Room, tidying when needed and assisting volunteers. Monitors use of Clothing Room and provides bags to visitors

  • Maintains office equipment and orders supplies

  • Monitors public telephone use

  • Keeps upper floor of Centre clean (dishes, kitchen, tables, furniture, papers, etc.)

  • Submits Building Service Requests as needed

  • Tidies/updates display rack & bulletin boards. Post notices of interest to the community

  • Responds to general inquiries by phone and in person regarding QVCC and QVNG, and shares in the physical work of maintaining the Centre 

  • Participate to ensure a save environment; observes potential hazards; remedies and/or reports to the appropriate person

  • Performs other related duties as required by the CPC and/or Executive Director


Qualifications:

  • Commitment to anti-oppressive, decolonial, and anti-racist practice

  • Demonstrated ability to effectively communicate orally and in writing

  • Demonstrated ability in, and sensitivity and commitment to working with diverse populations

  • Ability to work productively in an unstructured environment with frequent interruptions

  • Capable of working independently

  • Secondary education completion

  • Established experience serving the community, coordinating volunteers and/or programs

  • Friendly and approachable demeanour

  • Demonstrated ability to problem solve, network and provide connection for the community

  • Proficient in basic computer applications such as word processing, spreadsheets and Internet usage

  • Record keeping skills

  • Strong organizational skills


Hours of Work:

  • On-call shifts, which could occur Monday through Friday

Benefits and Remuneration:

  • Starts at $19.85 per hour, increases with tenure

  • Additional 6% vacation pay, paid out each pay period

  • Immediate enrolment in the Employee & Family Assistance Program

  • Paid training and development applicable to role
